About the CBOX APP

Introduction

  

Objective of the app is to give clients a tool they can use to enter information into QBO while keeping them away from the complexities of QBO. You can think of the app as parental control for QBO. 


The app provides the firm’s clients with the 5 modules and the following features so that clients can provide documents and enter transactions in a safe environment. 

Customer Module

Clients can set up a customer with all the required information for the customer to receive an invoice. 

  • The client enters his customer’s first name, last name, company name, email address and phone number. The first name, last name and email address are mandatory fields 
  • The client must also enter a billing address, as mandatory fields, for the invoice. 
  • Customer addresses must be in Canada or USA. 
  • The client may choose to enter default terms for his customer, but if left blank terms can be set on the invoice. 

Invoice Module

Send professional looking invoices with multiple invoice lines for goods and services set up by your accountant in QBO. 

  • The invoice module calculates Provincial tax and GST. 
  • Draft invoices are save on the phone. Final invoices are in QBO. 
  • Revenue categorization is based on product setup from QBO. 
  • When the client is ready to send, they can open the draft and email it directly from the app to a customer 
  • If the client wants to create another invoice like a prior one sent to a customer, they can duplicate a previous invoice. 
  • Invoices can also be emailed with attachments.  

Periodically the app sends invoice reminders to the client's customers when  payment has not been received 

Supplier Module

Clients can set up suppliers from their app. 

• Clients set up a supplier by entering the 

  1. company name, 
  2. display name, 
  3. email address, 
  4. phone number, and 
  5. physical address.

• Suppliers are integrated to QBO and are called by the app when the client enters a company paid expense. 

Expense Module (Personally/Client Paid)

The client starts by taking a picture from their phone or retrieving and image of a receipt from their file storage or photos. 

  • The client chooses whether the expense in Company Paid or Personally Paid. 
  • AI will read the receipt and provide a draft of the supplier’s name, date, line items, GST/HST and total amount.  
  • If personally paid, the vendor is the client.
  • The cost is recorded to the appropriate expense GL account and a liability to the client is credited. 

Expense Module (Company Paid by Bank Account)

  • If company paid, the vendor is selected from all the vendors in QBO, (see Suppliers video) 
  • The cost is recorded to the appropriate expense GL account and the company’s bank account. 
  • AI will read the receipt and provide a draft of the supplier’s name, date, line items, GST/HST and total amount. 
  • The client can then edit the results if they wish to make changes. 
  • When the client is ready, they press Save and the receipt along with the attachment is saved in QBO. 

Expense Module (Company Paid by Credit Card)

  • If company paid, the vendor is selected from all the vendors in QBO, 
  • The cost is recorded to the appropriate expense GL account and the company’s credit card account records the payment of the expense. 
  • AI, once again, reads the receipt and provides a draft of the supplier’s name, date, line items, GST/HST and total amount. 
  • The client can then edit the results if they wish to make changes. 
  • When the client is ready, they press Save and the receipt is saved in QBO. 

Charts and Conclusion

Clients can see one of the following 4 charts, to get a snapshot of their company’s financial performance, for periods spanning the last 30 days, current month, prior month, current year, prior year, or life-to-date. 

  • Profit and Loss – bar chart
  • Customer Invoices Paid and Invoices Unpaid – bar chart
  • Customer Invoice Trend – line chart
  • Expenses by category – pie chart
